Cancellation & Refund Policy

1. Scope of This Policy

This policy applies to confirmed residential cleaning, commercial and office cleaning, and move-in or move-out cleaning bookings made with Frisgewist.

A quotation request is not a confirmed booking. A booking is confirmed only after the company agrees to the service scope, date, time, price, and any relevant access arrangements.

2. Before Confirming a Booking

Customers should review the confirmed quotation, service details, price, preferred date, and this policy before accepting a booking.

Any special cancellation terms included in a written quotation or service agreement should be clearly disclosed before the customer confirms the booking.

3. How to Cancel or Reschedule

To cancel or request a new service date, contact Frisgewist as soon as possible using the email address or phone number shown on this page.

Please include:

  • Your full name and contact details.
  • The property address or booking reference, where available.
  • The scheduled service date and time.
  • Whether you wish to cancel or reschedule.
  • The reason for the request, where relevant.

A cancellation or rescheduling request is effective only after it has been received and acknowledged by the company.

4. Customer Cancellations

The final cancellation notice period and any applicable cancellation fee must be decided before this page is published.

Early cancellation

Cancellations made within the approved advance notice period may qualify for a full refund of eligible prepaid amounts.

Late cancellation

Cancellations made after the approved notice deadline may be subject to a reasonable fee reflecting reserved time and costs already incurred.

Same-day cancellation

Same-day cancellations may result in a higher charge or loss of an agreed deposit, subject to applicable law and the final published terms.

5. Rescheduling Requests

Rescheduling is subject to team availability and is not guaranteed until confirmed in writing.

Where sufficient notice is provided, the company may move the booking to another available date without a cancellation fee. Repeated or late rescheduling requests may be treated as a cancellation under the final approved policy.

6. Missed Appointments and No Access

Customers are responsible for providing safe and timely access to the property at the agreed date and time.

If the team cannot enter the property because keys, access codes, authorised contacts, parking, or other agreed access arrangements are unavailable, the booking may be treated as a missed appointment.

A reasonable charge may apply for reserved time, travel, and costs incurred. The exact charge must be confirmed before publication.

7. Cancellations by Frisgewist

Frisgewist may cancel or reschedule a booking because of illness, staff unavailability, unsafe conditions, access problems, severe weather, transport disruption, emergencies, or other circumstances outside reasonable control.

Where the company cancels a service that has not been performed, the customer should normally be offered:

  • A new available service date; or
  • A refund of eligible prepaid amounts for the cancelled service.

8. Unsafe or Unsuitable Conditions

The company may decline, stop, or postpone a service if the property presents an undisclosed safety risk, unlawful condition, hazardous material, aggressive behaviour, inaccessible area, or other circumstance that makes the service unsafe or materially different from the confirmed quotation.

Refund eligibility in such cases will depend on the circumstances, work already performed, travel, reserved time, and costs incurred.

9. Refund Eligibility

A refund may be considered where:

  • Frisgewist cancels a prepaid service and no suitable alternative date is accepted.
  • The customer cancels within the approved notice period.
  • An accidental duplicate or incorrect payment is confirmed.
  • A refund is required by applicable consumer law.
  • The company agrees that a material service issue justifies a partial or full refund.

10. Non-Refundable Amounts

Subject to applicable law and the final approved terms, the following may be non-refundable:

  • Cleaning services already completed.
  • Work already performed before a cancellation or interruption.
  • Reasonable late-cancellation or missed-appointment charges.
  • Non-recoverable materials or third-party costs approved for the booking.
  • Deposits clearly identified as non-refundable before booking, where legally permitted.

11. Service Concerns and Re-Cleaning Requests

Customers should report any service concern promptly after the cleaning appointment and provide clear details, photographs, or other relevant evidence where appropriate.

Depending on the circumstances, the company may inspect the issue and offer a reasonable remedy, such as clarification, corrective work, partial refund, or another agreed solution.

The final reporting deadline and remedy procedure must be confirmed before publication.

12. How Refunds Are Processed

Approved refunds should normally be returned using the original payment method unless another method is agreed.

The expected processing period should be stated once the business confirms its payment provider and internal procedure. Banks or payment providers may require additional time after the refund is issued.

13. Deposits and Prepayments

If a deposit or advance payment is required, the quotation or booking confirmation should clearly state:

  • The amount due.
  • The payment deadline.
  • Whether the amount is refundable.
  • The conditions that apply to cancellation or rescheduling.

14. Changes to the Service Scope

If the property condition, approximate size, room count, or required work differs materially from the information supplied, the quotation may need to be revised.

If the parties cannot agree on a revised scope or price, the service may be cancelled. Any refund or charge should reflect work performed, time reserved, travel, and costs already incurred.

15. Consumer Rights

Nothing in this policy limits mandatory rights available under applicable Belgian or European consumer law.

The final policy should be reviewed specifically for distance-contract rules, withdrawal rights, service commencement requests, and any exceptions that apply to cleaning service bookings.

16. Disputes and Complaints

Customers are encouraged to contact the company directly so that cancellation, refund, or service concerns can be reviewed and resolved promptly.

The final wording concerning formal complaints, mediation, alternative dispute resolution, governing law, and competent courts should be approved by a qualified Belgian legal professional.

This policy may be updated when the booking process, payment methods, service terms, or legal requirements change.
